Privacy Policy

This policy explains what personal data BookingBots collects, why we collect it, who we share it with and the choices available to you.

1. Who we are

BookingBots provides travel distribution infrastructure to businesses. This policy covers bookingbots.com, the BookingBots platform, our APIs and our developer tools.

Where we process personal data on behalf of a customer — for example traveller details passed through a booking API call — we act as a processor and the customer remains the controller.

2. Data we collect

Account data: name, work email, company, job title, phone number and the credentials you use to sign in.

Usage data: API request metadata, search and booking activity, feature usage, and diagnostic logs used to keep the platform reliable.

Traveller data: passenger names, contact details and travel documents submitted by our customers in order to complete a booking with a supplier.

Website data: cookies and similar technologies used to keep the site working and to understand how it is used. See our Cookie Policy for the detail.

3. How we use data

To provide the service: authenticating you, executing searches and bookings, delivering confirmations and handling servicing requests.

To operate reliably: monitoring performance, investigating incidents, preventing abuse and protecting the security of the platform.

To communicate: responding to enquiries, sending service notices and — where you have opted in — product and industry updates.

To improve: analysing aggregate usage patterns to make the platform faster and more useful. We do not sell personal data.

4. Who we share data with

Travel suppliers: to complete a booking we must pass the necessary traveller details to the relevant airline, hotel, operator or supplier.

Subprocessors: infrastructure, communications and analytics providers that operate under contract and on our documented instructions.

Legal and safety: where we are required by law, or where disclosure is necessary to protect our rights, users or the public.

5. International transfers

BookingBots operates from India, the United States and the United Arab Emirates, and serves customers globally. Data may therefore be transferred across borders.

Where transfers occur, we use appropriate safeguards including contractual protections with every recipient.

6. Retention

We keep personal data for as long as it is needed to provide the service and to meet legal, accounting and dispute-resolution obligations.

Booking records are typically retained for the period required by the relevant supplier and tax rules, after which they are deleted or anonymised.

7. Your rights

Depending on where you live, you may have rights to access, correct, delete, restrict or port your personal data, and to object to certain processing.

To exercise a right, contact privacy@bookingbots.com. If your data was submitted to us by a BookingBots customer, we will direct your request to them as the controller.

8. Security

We encrypt data in transit and at rest, apply role-based access control, log administrative actions and monitor our infrastructure continuously.

9. Changes to this policy

We will update this page when our practices change, and will revise the date at the top. Where a change is material we will notify account holders directly.
